Complaints Procedure

Our commitment

We work hard to get things right, but if something has gone wrong we want to hear about it, put it right where we can, and learn from it. This page explains how to complain and exactly what will happen when you do.

How to raise a complaint

Email HallingerProperties@gmail.com with "Complaint" in the subject line. Please include:

  • Your name and the property or service your complaint relates to
  • What has happened, with dates where you can
  • Copies of any relevant documents or messages
  • What you'd like us to do to put it right

What happens next

Step 1 — Acknowledgment

We'll acknowledge your complaint by email within 3 working days of receiving it and tell you who is dealing with it.

Step 2 — Investigation and response

A director will review your complaint, speak to anyone involved and examine the relevant records. You'll receive a full written response within 15 working days. If we need longer — for example because we're waiting on a third party — we'll write to explain why and give you a date.

Step 3 — Final review

If you're not satisfied with the response, reply and say so. Your complaint will be reviewed afresh at senior level and we'll send you our final viewpoint letter within a further 15 working days.

If you're still not satisfied

If you remain unhappy after our final viewpoint letter (or more than 8 weeks have passed since you first complained), you can refer the matter to our independent redress scheme, free of charge, within 12 months of the date of that letter. Details of the scheme are included in our terms of business and in our final viewpoint letter, or you can ask us for them at any time.
